Lahore : Punjab University and Abacus Consultants have entered into an agreement for Development of Examination Management Information System (EMIS) which will replace existing examination system.
In this regards, an MoU signing ceremony was held in committee room of the Registrar office. Punjab University Controller of Examinations Prof Dr Shahid Munir, Acting Treasurer Rao Muhammad Sharif, Managing Director Abacus Consultants Abbas Khan, Additional Controllers Rauf Nawaz, Shahid Javed, Additional Treasurer Rao Tahir, Deputy Registrar Jalil Tariq and Director IT Imran Qureshi were present on the occasion.
The new system will have salient features due to which the candidates will be able to submit their admission forms, rechecking forms, subject or centre change form, degree forms and degree verification forms thorough online access. A bar code will be printed by the system automatically when candidate will print the form. The same bar code will be used for depositing fee in bank through system generated challan form.
Moreover, in new system, a reliable and secure award management mechanism will ensure in time and error free result preparation.
The new system will be developed to minimize candidate’s need to physically come to university which will also save lot of time of the office and candidate. New system will be flexible enough to accommodate all existing and future examinations by providing customized rule set definitions.
Moreover, colleges will be able to submit their affiliation request, adjustments in increase and decrease of intake limits and affiliation team visit requests etc. through online access.
Private candidates will be able to self- register online by providing information about roll number, year, session, board, university and address etc.
All affiliated institutions will also be provided the secure logins on website where they can have access for online submission of their college returns for registration and later on submission of admission forms. The system will automatically print the due fee and candidate’s particulars as per schedule notified by University. Candidates will be able to print their roll number slips and centre information from website. Same can also be obtained by sending SMS on University’s unique number.
The new system will provide mechanism for defining examination buildings and centres for conducting examinations using location, capacity and other relevant parameters. The system will help in management of centre material including questions papers and answer sheets according to already entered data through admission forms.
In the new system, all the data of supervisory staff will be entered against their valid CNIC number to develop a pool of staff for appointment in various examinations based upon their qualification, designation, experience and other relevant parameters. The system will update the performance analysis of the staff duty history. The supervisory staff will also be given web interface to check their place of appointment for duty. Same can be retrieved through SMS using University unique number.
In the same way, a pool of examiners will also be built to assist various bodies of the university. Implementation of double entry feature at all key steps will be the main strength of the new system. Candidates will be able to print their results from website. This information will also be communicated through SMS.
Candidate will be able to apply for degree issuance and degree verification through both conventional and online methods. A unique case id will be assigned to each application for tracking current status. Case status report can also be obtained through sending SMS on University unique number.
New system will provide mechanism for automatic due fee challan generation wherever required. An online fee reconciliation mechanism will be implemented between bank and accounts department for timely verification of deposited fee. Examinations department will be able to scan and preserve both old and new record by implementing comprehensive document archival. Management will be able to generate various reports according to requirements.
On the other hand, the element of wrong doing will also be controlled due to minimum public interaction.
